Introduction

Our privacy policy will help you understand what information Insight Products collect, how Insight Products use it, and what choices you have.

Insight Products are developed, managed and maintained by Oxford Consultants for Social Inclusion (OCSI).

Community Insight & Value Insight are jointly developed, managed and maintained by OCSI and Housing Associations’ Charitable Trust (HACT).

“Insight products” refers to the Software-as-a-Service platforms Local Insight, Community Insight and Value Insight unless otherwise stated.

Information we collect and receive

Customer data

Content and information submitted by users to Insight Products is referred to in this policy as “Customer Data.”

“Customer” in this instance pertains to the subscribing organisation of Insight Products. There will be multiple individual “users” per customer.

The Information we collect and store, in order to deliver the Insight Products services covers:

  • Name
  • Email address
  • Password
  • Telephone number, if entered
  • A record of when and how often you log in.

Insight Products may also collect and receive the following information:

  • Account creation information
  • Billing and other information
  • Usage information
  • Log data:
    • IP address
    • Web browser and Operating System
    • Referral web page/domain

How we use your information

We use your information to provide and improve our services as set out below.

Customer Data

Insight Products may access and use Customer Data as reasonably necessary and in accordance with Customer’s instructions to:

Provide, maintain and improve services and our business:

  • User logs to monitor usage of Insight Products across organisations
  • Use aggregated / de-identified data so that it can no longer be associated to an identifiable user
  • Track & audit conversations in the lead up to and during a subscription

Prevent or address service, security or technical issues:

  • User logs to monitor for unwarranted access to services
  • Investigate and resolve any technical issues

Communicate with you:

  • Responding to your requests
  • Technical and administrative emails
  • Billing
  • Service related notices (changes to our Terms and Conditions, maintenance, security notices)
  • Updates and changes to the product or service*
  • Promotional communications*

Sharing and Disclosure

This section describes how Insight Products may share and disclose Information. Insight Products do not control how any other third parties choose to share or disclose information.

  • User Lists: Group Admins are able to access a list of all users within their organisation. This includes basic contact details such as name and email address; as well as user logs (when the user joined, how many times they have logged in, time of last login).
  • Third party service providers, partners and services: We may engage third party companies or individuals as service providers or business partners to support our business. Details of the third party services we use can be found below.
  • Aggregated or de-identified data: We may use de-identified data (“other information”) for any purpose. For example, we may use de-identified data to inform users of the average number of individual users per organisation.
  • To comply with law: In the event that we receive a request for information, we may disclose information if required by any applicable law, regulation or legal process.

Third Parties

Insight Products use third party providers to provide infrastructure services, and to help us provide customer support and communications.

Before entering a contract with a third party supplier we evaluate their privacy and security credentials to ensure they are suitable.

We never sell personal information, or pass it to third parties for marketing purposes without your permission.

Security

Insight Products take security seriously. We take various steps to protect information you provide to us from loss, misuse, unauthorised access and disclosure.

Our current practices and policies regarding security and confidentiality of Customer Data can be found in our Security Policy.

Data Retention

Insight Products will retain your personal data throughout the course of your subscription, as outlined in the Privacy Policy.

Once a Customer ceases to be a client; no individual user data will be held longer than 28 days after closure of your account.

Insight Products may retain some information pertaining to you for as long as necessary for the purposes described in this Privacy Policy.

Insight Products may retain aggregated, non-personalised data in order to improve our services & business.

During the demo and free trial period of Insight Products; we will keep individual user data for up to 3 months after we are last in contact with the Potential Customer.

Requesting and Removing your Data

You are entitled to request a copy of the personal data that we hold, ask us to confirm that we hold personal data, and to remove any data pertaining to you. We will respond to any requests in a timely manner, and provide requested data in a machine-accessible format. To submit a Subject Access Request, please email us at support@ocsi.co.uk.
